Senior Officer, Human Resource (HR) Faculty Operations, Office of Human Resources

Purpose: The job holder will support to different faculty operations functions. Assist and maintain accurate and update faculty records while issuing related reports. He/she will provide high-quality faculty operation in alignment with the University’s strategies, policies and procedures. Work as a focal point with the different benefits plan providers.

Principal Accountabilities:
Resolves faculty concerns and act as liaison with various plan providers; communicating with the providers through emails and/or conducting phone calls to the providers, conducting one to one meeting with the faculty
Administers faculty benefits programs and implements controls over the eligibility and provision of such benefit plans to assure proper operational procedures as well as an effective and timely process flow with completes operational requirements
Strives to ensure faculty understanding of benefit programs by regularly generating communications and counseling faculty
Communicate with the payroll office for any related benefits actions
Prepare required reports and follow up on all MetLife related issues in collaboration with MetLife representable
Works as the benefits delegate on Human Resources Information System (HRIS) projects, and responsible of the automating and digitalizing the faculty operations process
Support the HR faculty appointment process, including but not limited to; collecting all hiring documents, conducts faculty meetings, arranges for enrollment of the required forms, and preparing the employee’s personnel file and maintain following up sheet
Handle and review the documentation process for the adjunct faculty and ensure that documents are aligned with policy and procedure, prepare the required reports each semester, and communicate with the academic departments related to any missing documents or related issues
Prepare and maintain following up sheet for any missing documents
Review the scholarship requests as per the HR policies and prepare scholarship reports each semester upon requested
Responsible for the issuance of the HR letters as requested in timely manner
Maintain and update an accurate faculty records on the SAP or other systems and adjusts benefits status as necessary
Assist on the national social insurance and the seconded faculty process as requested
Support on all related issues regrading to the visiting scholars
Responsible and provide all required reports and provide relevant analysis on demand
Generates a monthly reconciliation reports for the faculty operations’ actions
Acts as the focal point for external and internal audit to provide them with all requirements through compiling all

required documents:
Applies high controls over terminated faculty; handling the clearance, prepare leaving list and follow up on the terminated process and documents, take the necessary action on the pension plans websites
Maintains and updates an efficient filing system for all faculty personnel records with an accurate document database
Provide all general administrative work and assist in resolving any
Handling day-to-day operations, replying to all faculty inquiries and requests with keeping an updated tracking sheet for the assigned tasks
Perform additional duties as assigned


Requirements:
Minimum Education Requirement:
Bachelor’s degree in business administration or any related field
HR Diploma is an asset


Experience:
Minimum of 10 years of relevant experience


Skills:
Experience in reporting, financial and analytical skills
Excellent project management skills
Excellent interpersonal, negotiation, leadership, organizational and presentation skills
Exercise discretion and independent judgment in comparing and recommending numerous solutions
Sound judgment to set priorities; evaluate results, coordinate work with other units
Excellent customer service skills and ability to resolve conflicts
