Background

The Administration Unit of the UNDP Egypt is the unit responsible for registry, pouch, mail services, and purchasing of stationary and office supplies.
The registry office is not only handling the UNDP office requests and business but is also serving other UN agencies for pouch services.
UNDP office and WHO are the only two offices that receive diplomatic pouches hence our pouch services are rendered to all other agencies including UNFPA, IFAD, UNwomen, UNCHR, UNIC etc…

The UNDP registry office provides pouch services on a cost recovery basis and was able to collect revenue throughout the years.

The registry office also provides translation services to the Administration unit upon request and is responsible for the inventory exercise.
Since beginning of 2021 the workload has increased tremendously and a dire need for an additional staff member to support the registry clerk was present.
The administration unit has been together with other units from Operations including HR, finance and procurement supporting the office and the other UN offices non- stop especially during the COVID peak timing and post COVID peak

Hiring an assistant to the Registry clerk to absorb the increase of workload and to be able to serve more agencies and claim more cost recovery

Duties and Responsibilities

  • Assist the Registy clerk in recording incoming mail
  • Photocopying documents of incoming mail
  • Sending faxes
  • Preparing lists of stationary to be purchased
  • Replacing the Registry clerk when on leave
  • Assist Registry clerk in preparation of cost recovery invoices
  • Assit Registry clerk in preparation of pouches

Ability to organize and complete multiple tasks by establishing priorities
Good knowledge of administrative rules and regulations

Managing Data

Collects and compliles data with speed and accuracy identifying what is relevant and discarding what is not
Collects, verifies and records data demonstrating attention to detail and identigying and correcting errors on own initiative

Managing Documents

Ensures correspondence, reports and documents comply with established UN standards
Ability to produce accurate and well documented records conforming to the required standard

Planning, Orgnizing and Multi- tasking

Demonstrates ability to quickly shift from one task to another to meet multiple support needs
Plans, coordinates and organizes workload wile remaining aware of changing priorities and competing deadlines
Establishing, builds and maintains effective working relationships with staff and clients to facilitate the provision of support.

Required Skills and Experience
Required skills and competencies:

0-3 years of experience in registry tasks
Previous work in International Organization is an asset
Desired additional skills and competencies

Good organizational skills
Required Language(s) (at working level)
Good knowledge of working and using English language
Good command of Arabic language
